Overview Internal Link

Share documents, course maps, schedules, and other files with your event participants. Files are organized in folders and can trigger automatic email notifications to attendees.

Navigate to File Management to manage your event files. You'll need the File Manager or Event Manager role to access this feature.

Organizing Folders Internal Link

Create a hierarchical folder structure to organize your files:

  • Click "New Folder" to create a folder
  • Folders can be nested inside other folders
  • Drag and drop to reorganize folders
  • Use the search bar to find files and folders quickly

Uploading Files Internal Link

  1. Select the event from the dropdown
  2. Click "Upload Files" or navigate to a specific folder
  3. Select up to 10 files (50MB max per file)
  4. Optionally check "Notify event entrants" to send an email notification
  5. Click Upload

Public Files Page Internal Link

Participants can access shared files at https://v2.sidewaysdata.com/event/{eventId}/files. This page displays:

  • Folder hierarchy with breadcrumb navigation
  • Search functionality
  • Download buttons for each file
  • Copy link buttons to share direct file URLs

Email Notifications Internal Link

When you upload files with "Notify event entrants" checked:

  1. Files are flagged for notification
  2. An hourly job sends emails to all event entrants
  3. Emails include the file list with names and sizes
  4. A link to the event files page is included
  5. Notification history is tracked to prevent duplicates

File Operations Internal Link

Action Description
Download Download file directly from storage
Copy Link Copy the public URL to clipboard for sharing
Delete Remove file from storage and database
Move Drag and drop files between folders

Folder Operations Internal Link

Action Description
Create Create new folders, optionally nested
Rename Update folder name
Delete Remove empty folders, or delete recursively with contents

Permissions Internal Link

File Manager Role

  • View, upload, and delete files
  • Create and manage folders
  • Send file notifications

Event Manager Role

  • Full file sharing access plus all other event management features

Best Practices Internal Link

  • Organize by type: Create folders for maps, schedules, results, and other categories
  • Use clear names: Name files descriptively so participants can find what they need
  • Notify strategically: Only enable notifications for important uploads to avoid email fatigue
  • Check file sizes: Large video files may take longer to upload; consider compression
