Getting Started
If you're looking to start listing events, fill out the form here. This is generally reviewed within 24 hours. Organizers require manual approval and sometimes a phone call to list events to prevent spam, and so we can understand each organizer's setup to ensure it's successful.
Creating or Copying Events
To make setup easier, you can copy events and simply change the start/end dates by using the Create Event From Existing button in the organizer dashboard.
Registration Basics
For all event types we can configure:
- Start & End Date times
- When registration opens
- Whether registration automatically closes when the event starts
- The max number of entries
- If we should enable a waitlist and how big it should be
- If the event should be visible on the site, or invite-only
Event Descriptions
Descriptions with custom formatting are supported. You can add images, tables, and videos to your event page. Here is an event with videos and images
Location Info
For all events a location name and GPS coordinates can be specified. This way you can drag a pin to the exact GPS location you want competitors or volunteers GPS to go to, while still having a custom name that is different from the address.
Also, location information will be used to show upcoming weather info on the event page. If the event is very far out, the weather information will be based on the same date for the last year until a more accurate forecast can be provided.
Segments
Many motorsports events are split into segments, whether those are entire days, or maybe timed practice on a Saturday morning and actual runs Saturday afternoon.
When creating your event you can define segments. By default, the system will auto-populate full-day segments based on your start and end dates.
You can then edit or replace these with your own segments.
Segments can have Unlimited or a defined number of Max Entries. When set to unlimited, registration uses the max count specified for the event. When a competitor registers, the system checks the corresponding segments for their selected payment options to determine if they can register of if the event is full.
Payment Options
In the Payment Options admin is where we define the different payment options the competitor sees during registration. Example payment options might be:
- Full Weekend
- Saturday Only
- Sunday Only
- Weekend Membership
- Extra T-Shirt
The organizer can configure whether to allow multiple options to be selected on checkout. A common configuration is to enable this, and then let competitors add what they want to their cart and let them checkout rather than limit them to one option.
This way they could purchase a full weekend, an extra day for another competitor, and weekend memberships all in one checkout/flow.
Payment Options can be Cash or Online. The platform takes 1% of online transactions (and of course credit card processors take their share).
For payment options that do not correspond to actually competing, you should check the "Is Add-On" checkbox, so it does not create extra entries for memberships or hats...
Purchasing Entries For Others
SidewaysData allows competitors, if "allow multiple payment options" is enabled, to purchase additional entries for other competitors.
When multiple payment options are added to their cart the system will guide them through a flow to select if each entry is for themselves or for another person.
Championships
Organizers can create, share, and select championships associated with their events. Championships can be used for custom reporting and the awards/stats pages.
Officials
Officials can be defined for an event, and their contact information is obfuscated and hidden behind "click to show" button on the public event page to prevent scraping from bots.
Media
SidewaysData supports a per-organizer media library. You can select media associated with an event and it will be used as the event banner and in the tiles in the find-events widget.
URL Slugs
Custom URLs can be defined in the format https://sidewaysdata.com/event/custom-name.
These custom names can be set in the Advanced tab in the event editor.
Collaboration
Organizers can invite collaborators to their event and define what level of access they have. For example, you may invite someone to collaborate on the volunteer side of things, but don't give them access to edit the event itself.
Links & QR Codes
SidewaysData supports both direct and organizer-level links. What this means is that you can get a permanent timing link that is printed on a QR code and reuse this across events.
When scanning the QR code with your phone, the competitor is automatically redirected to the last or current event's live results.
You can also print out sheets of QR codes and then use the Mobile App to assign these to competitors, and use the same app to scan them at the start line to queue them up for timing. If the QR codes are on helmets this helps prevent issues with two driver cars forgetting to change their numbers.
New Notifications & Subscriptions
When you list Visible events, Sideways sends out different types of notifications to nearby and subscribed competitors.
New Users
If a competitor is using SidewaysData for the first time, they can still add payment options to their cart and checkout. During the checkout process it will first prompt them to make an account, but their progress will not be lost. Once they log in it will automatically continue the checkout process.
New competitors are also highlighted in blue in the entry list.
Helping Others Find Your Events
SidewaysData does some things to help others find your events.
One of these things is generating Racing Events Near <City Name>, <State> pages for all cities around events.
This way even if someone is not in the same city as you, if they're nearby and try to find "racing events near me" in a search engine, it may show up.
The Event Browser
Additionally, events marked Visible will show in the /events page, as well as the event browser on the homepage.
Importing
Entries can be imported from other platforms like MSR. If competitors later create SidewaysData accounts, their results will be automatically assigned to their account via a manual review process based on a system that monitors for matches of new accounts with past results by name and entry number.
